Proposal Coordinator

Reporting directly to the Proposal Manager, the Proposal Coordinator will play an integral role in the company’s sales success through the development of proposals in the pursuit of acquiring new projects and business opportunities. As a key member and foundational support to our progressive and high-performance team, the Proposal Coordinator will collaborate with our Consulting and Research departments to create detailed written proposals in response to highly diverse and complex bid opportunities.


Proposal Development (70%)
  • Write compelling and engaging content in accordance with RFP best practices, instructions, and timelines
  • Present information in a visually creative way using effective design principles and templates
  • Develop a good understanding of various sectors, including public sector research needs, evaluation processes, economic development and labour market research approach
  • Coordinate activities associated with proposal development ensuring high quality of writing, and creating effective proposals for a wide range of research and consulting projects
  • Maintain structures, processes, and procedures for effective and efficient proposal development
  • Participate in win strategy sessions
  • Ensure the quality, format and content of a proposal are in alignment with brand standards
Administration (30%)
  • Organize and maintain a library of snippets.
  • Maintain database (QataLink) and Sharepoint with appropriate content, templates, and documentation
  • Collaborate with Proposal & Sales Administrator, as required, to ensure the accuracy of information with respect to projects, RFPs/proposals, bid sites, etc.
  • Assist with scheduling meetings and communications with prospective clients and associates
  • Other duties as required

Who You Are

You are a highly detailed, organized, and deadline-driven individual with a proven capacity to manage multiple competing priorities with quality, care, and timeliness. You have strong business acumen and possess excellent communication skills, especially as it pertains to writing to engage your target audience. You are team-focused with a strong capacity to collaborate and support a diverse group of team members, including senior management. As this is a remote position, you are highly effective at managing and completing your tasks while working independently.


  • 2-5 years relevant professional writing experience - technical, content, communications, or proposal writing experience
  • Post-secondary Education in a relevant field such as Language, Marketing, Professional Writing, Communications, or Business Administration
  • Excellent professional and creative writing capabilities to effectively market services to the target audience and successfully compete in the bid
  • Effective communication and team collaboration skills
  • Exceptional time management skills
  • Highly developed computer skills, including Microsoft Office suite and cloud-based technology
  • Experience with design tools i.e. Canva is an asset
